Our law firm is seeking a friendly and professional Receptionist to join our team. As a potential first point of contact for our office, you will play a crucial role in providing exceptional customer service and ensuring a positive experience for all visitors and callers. The ideal candidate will have excellent communication skills, be computer and software literate, and have previous experience in a customer service role. A positive attitude, willingness to learn, attention to detail, and desire to contribute to the team will serve you well in this firm.

We will expect that you escort guests to appropriate meeting rooms and offer to bring them a beverage, including coffee.

Our expectations of the Receptionist include:

  • Greet and welcome all guests in a warm, friendly, and professional manner. Show clients and guests to appropriate meeting rooms.
  • Answer phone calls, take messages, and redirect calls as necessary.
  • Provide basic company information to callers and walk-in guests.
  • Answer emails and correspondences as needed.
  • Transcribing dictation.
  • Run: more specifically, drive documents to opposing counsel offices and the courthouse, pick up meals for mediation groups, and complete other off-site errands as needed.
  • Assist the attorneys and paralegals with case-related administrative tasks.
  • Monitor the office’s supplies inventory; regularly order and stock items.
  • Assist the Administrative team with project and reporting-related tasks.
  • Use CRM programs, cloud-based document management, and online communication technology.
  • Track, save, and route incoming faxes to the appropriate person(s).
  • Ensure incoming and outgoing mail and package deliveries are completed – this includes scanning, sorting, and delivering incoming mail, as well as scanning and preparing outgoing mail.
  • Maintain client confidentiality – always.

    • After training has been completed and familiarity with the office’s standards is understood, one must be able to self-monitor and execute tasks with minimum instruction and work independently.
  • Proficient skills in Microsoft Office Suite.
  • Ability and/or willingness to learn how to organize and initiate online video conferencing and similar team training tools.
  • Maintain a clean and organized reception area and conference rooms.
  • Have earned an Associate's degree, bachelor’s degree, or some college education experience.
  • A minimum of one year prior office experience with receptionist responsibilities.
  • Ability to multitask and maintain organization.
  • Excellent time management skills.
  • Willingness to learn and grow with the company.

Additional Informaiton

This is a full-time, in-office employment position. We anticipate the successful hire will begin working with us the week of February 24, 2025.
